We’re delighted you’re considering Costume Hire NI for your event. To keep things clear, fair, and enjoyable for everyone, please read the following Terms & Conditions carefully. By booking with Costume Hire NI, you agree to these terms.

💳 1. Booking & Payment

A non-refundable deposit of 50% is required to secure your booking.

The remaining balance must be paid in full at the agreed time, unless otherwise arranged in writing.

Bookings are not confirmed until the required deposit has been received.

Failure to pay the outstanding balance may result in the cancellation of services or collection of hired items.

🚗 2. Travel & Additional Fees

Our quoted prices include travel within our standard service area.

For venues located outside this area, or where extended travel time is required, an additional travel or mileage charge may apply.

Any additional travel charges will always be discussed and agreed before your booking is confirmed.

❌ 3. Cancellations & Refunds

If you cancel your booking less than 48 hours before the event date, your deposit will be forfeited.

For cancellations made more than 48 hours before the event, we may, at our discretion, offer a partial refund or transfer your booking to an alternative date.

Any refunds offered will be subject to administrative and booking costs already incurred.

👗 4. Costume Care, Hygiene & Responsibility

All costumes, mascots, accessories, and equipment supplied by Costume Hire NI must be treated with care and returned in the same condition as provided, allowing only for reasonable use during the agreed hire period.

The hirer accepts full responsibility for all costumes, mascots, accessories, and equipment from the time of collection or delivery until they are returned to Costume Hire NI.

The following are not considered normal wear and tear and may result in additional charges:

• Food or drink stains
• Make-up, face paint, fake tan, glitter, hair products, or cosmetic staining
• Mud, grass, smoke, excessive dirt, or outdoor damage
• Tears, rips, broken zips, missing parts, or damaged accessories
• Burns, scorch marks, or damage caused by open flames, heaters, smoke machines, or similar equipment
• Unpleasant odours caused by smoking, vaping, pets, or other contamination
• Hygiene-related issues requiring specialist cleaning or sanitisation
• Any damage caused by misuse, negligence, inappropriate storage, or failure to follow instructions provided by Costume Hire NI

Where additional cleaning, repairs, sanitisation, or replacement are required, the hirer agrees to pay the associated costs.

Charges may include:

• Professional cleaning fees
• Specialist sanitisation or hygiene treatment costs
• Repair costs
• Loss of hire income while an item is unavailable for future bookings
• The full replacement value of the costume, mascot, accessory, or equipment where repair is not possible

We apologise for having to enforce these measures; however, our costumes and mascots are premium items enjoyed by many customers. Unfortunately, the actions of a small number of individuals have made it necessary to protect the quality, cleanliness, and availability of our costumes for everyone.

🧒 5. Children & Parental Responsibility

Our performers and mascots are entertainers and are not childcare providers.

Children must remain under the supervision of a responsible parent or guardian at all times.

Children must never be left alone with a performer or individual in costume.

Parents and guardians remain fully responsible for the behaviour, welfare, and safety of all children attending the event.

🌦️ 6. Outdoor Events & Weather

For outdoor events, the hirer must provide a safe and suitable environment for both performers and costumes.

Costumes and mascots may not be suitable for use in adverse weather conditions, including heavy rain, strong winds, excessive mud, snow, or extreme heat.

Where weather conditions pose a risk to the performer, costume, or equipment, Costume Hire NI reserves the right to pause, relocate, modify, or cancel part of the performance without liability.

🤝 7. Safety & Respect for Our Staff

Our performers, mascots, and event staff are committed to making your event enjoyable and memorable.

All staff must be treated with courtesy and respect at all times.

Costume Hire NI reserves the right to end any performance or hire immediately if staff are subjected to:

• Verbal abuse
• Physical abuse or assault
• Harassment
• Intimidating behaviour
• Unsafe conditions or activities

In such circumstances, the booking will be deemed completed, no refund will be issued, and the full booking fee will remain payable.

Any damage resulting from such behaviour may be pursued through legal channels where necessary.

⏰ 8. Timings & Overtime

Your booking covers the agreed period stated at the time of booking.

Requests for additional time may be accommodated subject to performer availability and will incur additional charges.

Any extension must be agreed with Costume Hire NI on the day of the event.

📸 9. Photography, Video & Promotion

Customers and guests are welcome to take photographs and videos for personal use.

Costumes, mascots, branding, and characters supplied by Costume Hire NI may not be used for commercial advertising, endorsements, political campaigns, or promotional activities without prior written consent.

From time to time, Costume Hire NI may take photographs or short video clips during events for use on our website, social media channels, and promotional materials.

If you do not wish photographs or videos to be used for promotional purposes, please notify us in writing before your event.

📧 10. Customer Details & Marketing

To manage your booking, we may collect information including your name, event date, address, telephone number, and email address.

These details will be used solely for booking administration, customer service, and communication regarding your event.

We may occasionally contact you with information about future offers, promotions, services, or special events.

You may opt out of marketing communications at any time by contacting us.

🎭 11. Substitute Performers & Costumes

In the unlikely event that a performer becomes unavailable due to illness, emergency, transport issues, or circumstances beyond our control, Costume Hire NI reserves the right to provide a suitable alternative performer, mascot, or costume wherever possible.

🌍 12. Force Majeure

Costume Hire NI shall not be held liable for any failure or delay in performing its obligations due to circumstances beyond our reasonable control.

These circumstances may include, but are not limited to:

• Illness or injury
• Severe weather conditions
• Road closures or travel disruptions
• Power failures
• Acts of government
• Natural disasters
• Other unforeseen emergencies

In such circumstances, we will make every reasonable effort to provide an alternative solution where possible.

🛡️ 13. Liability

Costume Hire NI accepts no responsibility for injury, loss, damage, or accidents arising from:

• Misuse of costumes or equipment
• Failure to supervise children
• Unsafe venue conditions
• Actions of guests or third parties
• Failure to follow instructions provided by our staff

The hirer is responsible for ensuring that the venue is safe, suitable, and accessible for performers and equipment.

Nothing within these Terms & Conditions limits liability where such limitation is prohibited by law.

✅ 14. Acceptance of Charges

By making a booking, the hirer acknowledges and accepts that additional charges may be applied following inspection of returned costumes, mascots, accessories, or equipment where excessive cleaning, sanitisation, repairs, replacement, or restoration are required due to damage, staining, contamination, misuse, negligence, or hygiene-related issues.
